
| Terms & Conditions |
These terms and conditions are valid for all tuition from September 2021. Parents will receive a copy of these at the trial session, I will also have a copy on my website www.wildstarlingtuition.co.uk in case you need to refer back to them. I reserve the right to make changes to these terms and conditions from time to time, parents will be notified beforehand.
| Registration |
- Clients are required to provide adequate contact details: this will allow effective communication and contacts in case of an emergency.
- I will require: postal address, email, contact number, school name and year group of the child. Please ensure you notify me of any changes as quickly as possible.
- It is the parent’s responsibility to provide details of any allergies, special needs or medical concerns which they deem important while the student is at tuition.
- I take no personal responsibility for individual exam results, but will endeavour to offer my professional advice and opinion regarding likely outcomes.
| Booking and Payment |
- Sessions are charged as per the rates discussed at time of booking – £40 per hour.
- The first session is non-committal and is £20.
- Payment for regular weekly tuition is paid on the day of the lesson or at the end of the session by bank transfer or cash, details as per the invoice provided. If you find it easier you are more than welcome to pay for sessions in bulk e.g. two session £80 or four sessions £160.
- I will be working within Birmingham City Council – school term dates.
- If your lesson lands on a Bank Holiday or a school inset day, I will try my best to arrange to another day and time within the 7 days.
- By booking a regular time slot you agree to pay for and attend all available sessions on your chosen day/time each term.
- I will be working through half term holidays (please see term dates 2024-2025). The day and lesson times may change ad hoc, but you will be given at least two weeks notice.
- If you do not want a lesson during half term or school holidays (Christmas, Easter and Summer) please give two weeks notice.
| Absences / Illnesses |
- All sessions are 1 hour long (unless otherwise arranged) – 55 minutes teaching time, plus 5 minutes feedback writing and homework.
- I will send a reminder message of the lesson on Whatsapp on the day of the session with the time.
- Sessions may not be recorded (audio or video) without written prior consent from myself.
- Parents are welcome to wait in the car on the drive or come back to collect at the end of the session, but please be aware of the time as I will potentially have other students afterwards.
- Can parents please wait in their cars or on the doorstep when dropping off or collecting children as ringing the doorbell can sometimes disrupt the lesson. I will bring your child to the door at the end of the session.
- Please can I remind parents and carers to park responsibly on my drive, or on the road (being aware of road marking): ensuring none of my neighbours driveways are blocked or the turning circle by the school.
- I will try my best to keep to the hour slot, if I run over slightly I will make up the time. If parents are late for the session I will still have to keep to the time slot allocated, as this can have a knock on effect to later lessons.
| Cancellations |
- Cancelled/missed sessions are non-refundable, as these sessions require a level of commitment. If you agree to a weekly lesson, then you commit to coming and try and avoid cancelling in term time wherever possible, as this time has been allocated for your child, however, due to medical emergencies, I will attempt to offer an alternative session if it is possible within 7 days. This is at the discretion of the tutor (Kate Starling) and is not a regular arrangement.
- If a lesson is cancelled on the day of tutoring, the full lesson fee will be charged: £40.
- If a lesson is cancelled the day before the day of tutoring 50% of the lesson fee will be charged: £17.50.
- In the rare occurrence that a lesson is cancelled by me, I will give you as much notice as possible and will try my best to give a rescheduled time and day within 7 days. I try wherever possible, not to cancel a lesson, but if I need to, You will not be charged for the cancelled lesson.
- Cancellation of the tuition contract is to be made in writing/email, however there needs to be a two week notice period. If you cancel before the end of a block of lessons: you will not be refunded the remaining weeks left.
| Contact Policy |
- To avoid the spread of illness to students with compromised immune systems, any student with an infectious illness, which would require them to be absent from school should not attend tuition in person.
- In the light of Covid-19 pandemic, if any child or adult is presenting with any of these symptoms: Fever (high temperature), Persistent cough (dry), Lack of taste and smell please have a PCR test immediately and keep me informed of the result.
- If your child is well enough for online tuition, an online session can potentially be arranged for your scheduled session (please note at least 12 hours notice is required for this).
| Homework |
- In order for the student to progress, it is sometimes necessary that a short amount of homework or extra work is set. This is usually a small quantity of work and typically involves finishing off work done in the lesson. If the client/parent does not wish the student to have any extra work such as this; they need to communicate this to the tutor (Kate Starling).
- It is important that the student completes the work in readiness for the next lesson. All homework/extra work is marked and feedback is given. Whether it is homework for online or face-to-face lessons, I always aim to mark and put in folder before the end of the session.
- Parents/Clients should encourage the learner/student to do the homework set, as it is likely to result in a more rapid progress in their student’s learning.
| Timekeeping and parental involvement |
- If you wish to contact me, I am always available for questions between sessions via phone, Whatsapp message and email. Please remember that I might be tutoring in the day and sometimes late into the evening, which means I will not be able to answer your call/message immediately. Please leave a voice message or a Whatsapp text and I endeavour to reply to all messages within 24 hours, except when on annual leave. I am contactable between 8am and 8pm, Monday-Friday, but I may reply to calls/texts outside of these hours.
| Photos / Video Consent Form |
I would be grateful if you would fill in this form below to give me permission to take photos and videos of work that your child does in the lesson and resources used. This would be used in my printed and online publicity to advertise the work that I do.
From time to time I may take photographs or videos of the children’s work and activities taking place during the lesson: this is a great way to showcase learning and fun activities done in the session and to share teaching ideas.
I will not include your children’s faces and school uniform. Names will also not be shown or linked to the work online. When recording videos, your child’s voice may be included, but I will ask them for their consent verbally to share their work online. All photos/videos will be shared with the parent/guardian over Whatsapp or text message prior to posting.
I grant Wild Starling Tuition full rights to use the images resulting from the photography / video filming, and any reproductions or adaptations of the images for fundraising and publicity.
| GDPR – Privacy Policy |
The personal data I collect will only be used for:
- Ensuring that my tutoring sessions are conducted in a safe environment and that the child’s needs are met.
- Providing you with feedback relating to your child’s tutoring sessions.
- Contacting you with information relevant to our tutoring agreement.
- Contacting you in the event of an emergency.
Legal Bases / Contractual fulfillment:
- The information I request is necessary to ensure I can provide the agreed services.
Legitimate Interest:
- The data I request will inform the services I provide, therefore they directly benefit the tutee. The information I request will be processed and used reasonably to inform the services I provide.
Safeguarding Compliance:
- In case of safeguarding, procedures need to be followed and to ensure that all my tutees are safeguarded accordingly, data may be confidentially shared with appropriate authorities when needed.
- The categories of data which may be collected and stored for each tutee are personal identifiers eg: name, address, phone number, email, date of birth, school and year group of your child, any medical illnesses or allergies I need to be aware of and any special educational needs.
Consent:
- Your data will be stored securely on my computer, which is password protected. Paper documents are locked in a secured filing cabinet and it will be accessible only by myself.
- My accountant will need access to my accounts, which may display their name and a reference number, but no other information.
- When providing the information, you are also agreeing that I can use the data to ensure that the services provided meet the tutee’s needs and that I can communicate with you to that effect. Your data is deleted when our tutoring agreement ends. I will not share or discuss your data or details of our tutoring agreement with anyone else.
Your data protection rights:
Under data protection law, you have rights including:
- Your right of access – You have the right to ask us for copies of your personal information.
- Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
- Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
- Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
- Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
- Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
- You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
